LCVA Letting Conditions
- The Hirer agrees to pay the Room Hire Rate in force at the date of this agreement. A deposit of 50% is payable at the time of booking. Current rates advertised on the LCVA website.
- The Hirer agrees to leave the premises - which includes the room hired - the toilets and corridors clean and free of litter.
- Any loss or damage to fixtures, fittings, or property of LCVA must be reported to a Committee Member as soon as reasonably possible. The Hirer agrees to indemnify LCVA in respect of any such loss or damage (fair wear and tear excepted) and any such indemnity will not be limited to the deposit payable under paragraph 1.
- Hirers agree to be considerate towards the neighbours of the Village Centre and wherever practical, avoid making excessive noise. External doors and windows should remain closed when the premises are being used for the performance or production of live or recorded music or where such music or any public address system is used in connection with any activity of the Hirer.
- The Hirer must not exceed the permitted hours of public entertainment which for the purposes of this agreement shall be from 9am to 1am and must ensure that patrons depart from the premises no later than 30 minutes after the event finishes and without causing disturbance in the vicinity of the center.
- The Hirer undertakes to ensure that the following attendance limits are not exceeded:
Main Bar: 100 people
Dance Studio: 80 people
For insurance purposes we require a full list of guests attending any event at least 24 hours prior to the event.
- Alcoholic beverages for consumption on the premises shall normally be purchased from the LCCSC. If the Hirers desire to provide their own alcohol, a corkage rate of £3 for bottled beer and £5 per bottle of wine shall be charged. Spirits must be purchased through LCCSC. Corkage may be waived at the discretion of the Chairman of LCVA for the purposes of toasts.
- The Hirer agrees to be bound by the LCVA Health and Safety Policy. A copy of this policy is displayed on the Notice Board in the main bar and is also available from the Secretary on request.
- The Hirer is solely responsible for the wellbeing and safety of users and occupiers of the premises hired out under the terms of this agreement and will indemnify LCVA for any loss, damage and personal injury arising from and during such use by the Hirer howsoever caused.
- The signatory on the letting form shall be the person responsible for such indemnity in paragraph 9 above and both in his/her personal capacity and on behalf of the organisation represented.
- If the Hirer or his/her invitees are found to be in serious breach of the terms of this agreement LCVA reserve the right to terminate the use of the room hired.
- The Hirer has the right to cancel this agreement giving not less than 14 days’ notice to the LCVA and will receive a full refund of the 50% deposit and any other monies paid. The refund will be retained by the LCVC in the event of a cancellation with less than 14 days’ notice.
- In the event that LCVA is unable to provide the room booked under this agreement because of circumstances outside of its control (e.g. flooding, fire, interruption of power supply or heating failure) all possible steps will be taken to provide an alternative room. If it is impossible to accommodate the Hirer, the LCVA reserves the right either to offer an alternative date, or cancel and refund all monies paid under this agreement. The Hirer acknowledges that LCVA will not be responsible for any losses financial or otherwise which the Hirer may suffer as a result of cancellation in accordance with this clause.
